PDF, InDesign & Brochure Translation with Multilingual DTP

Translating a designed document is not the same as translating a text file. When the source content lives inside an InDesign layout, a press-ready PDF, or a branded PowerPoint deck, the translation process must account for text expansion, font availability, right-to-left language direction, and the integrity of the original design — all without returning files that need to be rebuilt from scratch by the client’s design team. LingvoHouse provides multilingual DTP translation services that handle the full workflow: translation, typesetting, layout adjustment, and delivery of print-ready or screen-ready files in the same formats received.

What Multilingual DTP Translation Involves

Multilingual document translation with DTP encompasses the full process of translating content within designed files and returning those files in a layout-accurate, production-ready state. LingvoHouse works directly with the native source files wherever possible — InDesign (.indd, .idml), Illustrator (.ai), PDF, PowerPoint (.pptx), Word (.docx), and Publisher — and returns files in the same format, ready for print or digital distribution.

The translation itself is handled by specialist human translators under an ISO 17100-certified workflow, which requires a minimum two-stage process: translation followed by independent review. For DTP projects, a third stage is added: a post-typesetting linguistic review, in which a translator checks the laid-out file to confirm that no text has been truncated, reflowed incorrectly, or altered during the typesetting process.

Specific DTP capabilities include:

  • Text extraction from InDesign, PDF, and Illustrator files, with translation in a CAT tool to maintain consistency across repeated elements
  • Text expansion and contraction management — French and German typically expand a source English text by 20–30%; Arabic and Mandarin Chinese typically condense it
  • Right-to-left language support for Arabic and Farsi, including mirrored layout adjustment where the design requires it

  • Font sourcing and substitution for non-Latin scripts, including Simplified and Traditional Chinese, Japanese, Korean, and Arabic
  • Paragraph style, character style, and master page preservation in InDesign files
  • Colour mode verification (CMYK for print, RGB for screen) and bleed/margin integrity checks before delivery
  • PDF export to press-ready specification where required

For brochures, catalogues, annual reports, investor presentations, and multilingual product documentation, the project manager coordinates translation and DTP in a single managed workflow — the client does not need to separately commission a typesetter.

Who Uses This Service

Marketing and brand managers at consumer goods, technology, and professional services firms who manage multilingual campaign materials, product brochures, and trade event collateral. These buyers are typically working to a print deadline and need files returned in a state that can go directly to a print supplier or be uploaded to a digital distribution platform.

Procurement and marketing leads at public sector bodies, including NHS trusts and local authorities, who commission multilingual public information materials — leaflets, appointment letters, patient guidance documents — that must be accessible across community languages and printed to specification.

Investor relations and communications managers at UK-listed or internationally operating companies who require annual reports, ESG documents, and shareholder communications in multiple languages. These projects often involve precise terminology requirements and confidentiality obligations alongside the DTP workflow.

Export managers and product teams at manufacturing and consumer brands who require multilingual product data sheets, instruction manuals, and packaging inserts in languages including French, German, Spanish, Italian, Arabic, Mandarin Chinese, Japanese, and Korean.

Agency creative directors and production managers who manage multilingual projects on behalf of end clients and need a translation supplier capable of returning files their studio can use directly.

Partnering with LingvoHouse was a game-changer. Their expertise in localisation catapulted our growth, helping us achieve our ambitious targets. This strategic decision was key to our success in new markets

How the Process Works

  • File submission and assessment. The client submits source files — InDesign, PDF, PowerPoint, Illustrator, or other formats — along with the target languages, any existing glossary or brand terminology guide, and the delivery deadline. LingvoHouse assesses the files for translatability, identifies any font or format constraints, and confirms the workflow and timeline.
  • Text extraction and translation. Translatable text is extracted from the source files and loaded into a CAT tool. This ensures translation memory is built across the project, repeated elements are handled consistently, and the client receives a per-word or per-project quote based on the net word count rather than the gross file content.

  • Translation and review. Specialist translators work on the extracted content, followed by an independent review stage in line with the ISO 17100 workflow. Subject-matter specialism is matched to the document type — a financial brochure is not handled by a translator whose background is in consumer marketing.
  • Typesetting and layout adjustment. Translated text is placed back into the source file. The DTP specialist adjusts text frames, font sizes, leading, and layout elements to accommodate text expansion or contraction in each language. Right-to-left languages are handled with full layout mirroring where required.

  • Post-typesetting linguistic review. A translator reviews the laid-out file in each language to check for truncation, reflow errors, missing text, or hyphenation issues introduced during typesetting. This stage is not optional — it is part of the standard workflow for all DTP projects at LingvoHouse.
  • Delivery and sign-off. Files are returned in the agreed format — native source files, press-ready PDFs, or both. If the client requires amendments following internal review, a revision round is included as standard. Final files are delivered via secure transfer.

Frequently Asked Questions

What file formats does LingvoHouse accept for multilingual DTP projects?

LingvoHouse accepts InDesign (.indd and .idml), PDF, Illustrator (.ai), PowerPoint (.pptx), Word (.docx), and Publisher files. For PDF-only projects where no native source file is available, the team can work directly from the PDF, though native source files always produce a cleaner DTP result. If files are supplied in an unusual format, the project manager will confirm compatibility at the assessment stage.

How is text expansion handled when translating into languages such as French or German?

Text expansion is managed during the typesetting stage by adjusting text frames, tracking, and point size within the design constraints of the source file. LingvoHouse’s DTP specialists work within the original paragraph and character styles rather than overriding them, which preserves the visual hierarchy of the layout. Where expansion is significant and cannot be absorbed without compromising the design, the project manager raises this with the client before proceeding — not after delivery.

Can LingvoHouse handle right-to-left languages such as Arabic or Farsi in InDesign?

Yes. Arabic and Farsi typesetting in InDesign requires the Middle Eastern or World edition of the software, which supports right-to-left text flow, Arabic-specific OpenType features, and kashida justification. LingvoHouse handles full layout mirroring for right-to-left documents — covers, navigation elements, text frames, and page order — where the project requires it. Font sourcing for Arabic scripts is included in the workflow.

What is the typical turnaround time for a multilingual brochure project?

Turnaround depends on word count, language count, and file complexity. A 16-page brochure into four European languages — French, German, Spanish, and Italian — is typically deliverable within five to seven working days, including translation, review, and typesetting. Urgent requests with tighter deadlines are accommodated where the project scope permits; the project manager will confirm what is achievable at the assessment stage. For time-critical print projects, same-day or overnight translation without DTP is also available for simpler file types.

Does LingvoHouse deliver print-ready files, or only translated InDesign files?

LingvoHouse delivers in the format the client specifies. For print projects, this typically means press-ready PDF files exported to the same specification as the source — correct bleed, crop marks, colour mode, and resolution. Native InDesign files are also returned as standard so the client retains the editable originals. Where a client requires files packaged for a third-party printer, the project manager can coordinate that as part of the delivery.

Credentials and Quality Standards

LingvoHouse holds ISO 17100 certification for translation services management, ISO 27001 certification for information security management, and ISO 9001 certification for quality management. LingvoHouse is a Corporate Member of the Institute of Translation and Interpreting and was listed in the Slator 2024 Boutique Language Service Provider Index. For public sector buyers, LingvoHouse holds approved supplier status on the Crown Commercial Service RM6302 Language Services Framework (Lot 2 — Translation Services).
